Service Reminders and the Reminder Report

Overview

You can set Service Reminders for inspections and have a reminder event appear on the calendar. You can then turn it into a ticket and schedule the date, time, and tech. The new Reminder Report helps ensure you never miss scheduled inspections.


Why Use Service Reminders?

If you are charging the subscriber for inspections, you need to make sure you schedule them! Service Reminders help you:

  • Track required inspections
  • Stay compliant with service agreements
  • Ensure timely completion of billable services
  • Maintain customer satisfaction


Setting Up Service Reminders

Creating a Reminder

To create a service reminder:

  1. Navigate to the customer account
  2. Enter the necessary information including:
    • Frequency - How often the service should be performed
    • Reason - Purpose of the reminder (e.g., fire inspection, NFPA sprinkler inspection)
  3. The reminder will automatically appear on the calendar

Using Calendar Reminders

Once reminders are set up:

  1. View reminders on the calendar
  2. Turn the reminder into a ticket
  3. Schedule the specific date and time
  4. Assign a technician
  5. Use the calendar to schedule your techs to perform the service throughout the month


The Reminder Report

Use the new Reminder Report to make sure you have service reminders for accounts with inspection recurring charges.

Report Features

The report allows you to filter on specific customer and reminder criteria:

Filter by Recurring Charge Type:

  • Fire inspections
  • NFPA sprinkler inspections
  • Other inspection types

Filter by Reminder Status:

  • Expired - Reminders that are past due
  • No Reminders - Accounts missing reminders entirely

This helps you identify accounts that need attention.

Running the Report

  1. Navigate to the Reminder Report
  2. Select your filter criteria:
    • Choose specific recurring charge types (inspection types)
    • Select reminder status (Expired or No Reminders)
  3. Run the report to see accounts that need service reminders


Using Inquiry/Mail Merge

Inquiry/Mail Merge also allows for search and selection of accounts that have or are missing reminders. This feature lets you:

  • Interactively review accounts
  • Search for specific reminder criteria
  • Select accounts for bulk actions
  • Identify gaps in your reminder setup
