Add Custom Email Signature to Quote Emails

Overview

You can create reusable email signatures using Phrases that will automatically populate when emailing quotes.

This feature allows you to maintain consistent, professional email signatures with dynamic fields that update automatically.


Creating an Email Signature Phrase

Step 1: Access the Phrases Tool

  1. Go to Quotes > Open A Quote
  2. Click Print or Email
  3. Click Phrases

Step 2: Create a New Phrase

  1. From the Phrases window, click Insert
  2. Enter the Phrase ID (e.g., "Signature")
  3. From the Category dropdown, select Email

Step 3: Build Your Signature

In the Service Phrase area, you can:

  • Enter your email signature using plain text
  • Click System Macros to select dynamic fields that populate automatically

Step 4: Save the Phrase

Click OK to save the Phrase.


Using System Macros for Dynamic Content

System Macros are special fields that automatically populate with your company information when the email is sent.

Common System Macro Examples

  • @SysName@ - Your company name
  • @SysAddrFull@ - Your full physical address
  • @SysPhone1@ - Your company phone number
  • @SysPaymentURL@ - Will print www.Alarmpayments.com as part of the signature

When you use these macros in your phrase, they will be automatically replaced with the actual data when the email is sent.


Using Your Email Signature

Once created, the Phrase can be used any time you email a quote.

If you've used System Macro fields, those fields will be populated automatically once the email is sent, ensuring your signature always contains current, accurate information.
