Managing Reorder Levels with Override Counts

Overview

The Inventory Dashboard now includes an Override Counts feature that allows you to edit reorder levels, maximum quantities, and manual order amounts in an interactive worksheet format. Changes can then be posted back to the inventory dashboard.


Accessing Override Counts

Location: Inventory Dashboard > Changes Tab > OVERRIDE COUNTS

This opens an interactive worksheet where you can make bulk edits to inventory parameters.


What You Can Edit

Main Location (Blank)

For the Main location, you can edit columns marked with "*":

  • Reorder Level - The quantity that triggers a reorder
  • Max - Maximum inventory quantity to maintain
  • To Order Manual - Manual order quantity override

Other Locations

For all other locations:

  • Reorder Level only - This is the only editable field for non-main locations

How to Use Override Counts

Step 1: Navigate to Inventory Dashboard > Changes Tab > OVERRIDE COUNTS

Step 2: Double-click into cells to edit values

Step 3: Enter the updated values for Reorder Level, Max, or To Order Manual

Step 4: Review your changes - Values that have been changed will display with a checkbox next to them

Step 5: Click the Post button when edits are complete

Step 6: Confirm the changes


CRITICAL SAFETY PRECAUTION

Important: Extra caution should be taken with this feature.

Before Making Changes:

  • Ensure other users are NOT in the Inventory Dashboard
  • Ensure no one is building Product Invoices
  • Ensure no one is working on Tickets

Making changes while others are actively using inventory-related features can cause data conflicts or errors.


Identifying Changed Values

The system helps you track your edits:

  • Values that have been modified will display with a checkbox next to them
  • This allows you to review all changes before posting
  • Verify all checkboxes are correct before clicking Post

Best Practices

  1. Coordinate with your team - Notify all users before using Override Counts
  2. Schedule during off-hours - Make bulk changes when system usage is minimal
  3. Review before posting - Check all checkboxes to verify changes are correct
  4. Start small - Test with a few items before making widespread changes
  5. Document changes - Keep notes on why reorder levels were adjusted
  6. Back up data - Consider backing up inventory data before major changes

When to Use Override Counts

Use this feature when you need to:

  • Adjust reorder levels for multiple items at once
  • Update maximum inventory quantities across products
  • Set manual order quantities in bulk
  • Rebalance inventory parameters seasonally
  • Correct outdated reorder levels

Common Use Cases

Seasonal Adjustments

  • Increase reorder levels before busy season
  • Decrease levels during slow periods

New Product Analysis

  • Adjust initial reorder levels based on actual sales data
  • Fine-tune max quantities after observing demand

Supplier Changes

  • Update order quantities when switching to new vendors
  • Adjust for changes in minimum order requirements

Location Rebalancing

  • Set appropriate reorder levels for different warehouse locations
  • Account for location-specific demand patterns

Troubleshooting

If changes don't appear:

  • Verify you clicked the Post button
  • Confirm the changes in the confirmation dialog
  • Check that no errors were displayed

If you encounter errors:

  • Ensure no other users are in inventory-related screens
  • Exit and re-enter Override Counts
  • Contact support if issues persist
