Dispatch Status for Tickets or Appointments

Service Tickets and Appointments provide you with a place to record the Service Code and select a Dispatch Status to keep track of where you are in the process. This allows you to easily view the status of your appointments and tickets.

Service Code

Can be attached to a Ticket Checklist for each Ticket Service Code (see the Ticket Checklist Tip Sheet).

Dispatch Status

Select a Dispatch Status to track your progress through the service process.

Customization

Create your customized list and set the color you wish to use on the Calendar Schedule view.


Where Dispatch Status Appears

The Service Code and Dispatch Status appear on:

  • Ticket List
  • Calendar List Screens

On the Calendar Schedule view, tickets and appointments are color coded by either the Service Code or Dispatch Status color. The Dispatch Status color selection can override the Service Code color selections.


Setting Colors

Default colors for the calendar events can be set in Utilities > Set System Defaults > Calendar.

You can also set colors for:

  • Service Codes
  • Dispatch Status used on Tickets and Appointments

Example: You can distinguish tickets for Install vs. Service vs. Fire with different shades of purple for each service code.

Creating or Managing Colors

Create or manage these in Utilities > Manage Lists > Service Codes or Dispatch Status.


Hierarchy of Colors

With all these colors available, please note that the hierarchy for color is as follows:

  1. Ticket (short) - highest priority
  2. Unknown (time or tech)
  3. Service Code or Dispatch Status
  4. Default Ticket/Appointment Color - lowest priority

Why This Hierarchy?

This is done to highlight issues in scheduling, such as unscheduled tickets or tickets where parts are not available, so you minimize truck rolls.

Examples:

  • The default color for a short Ticket (a ticket with service items not in inventory) will be what is used on the calendar for the ticket even if you have assigned colors for a service code and/or dispatch status
  • Tickets that are not assigned a Tech or a time will be the "Unknown" color even if there is a service code or dispatch status assigned
