Document Management - Microsoft OneDrive Integration

Overview

You can integrate your Microsoft OneDrive with Cornerstone and link documents directly to your customers' accounts. This article walks you through two stages: setting up OneDrive as a mapped network drive on your computer, and then using that drive to attach and view documents within Cornerstone customer accounts. Instructions are provided for both FTP and Mapping document link methods.

Part 1: Set Up Microsoft OneDrive as a Network Drive

Step 1: Access OneDrive and Get Your CID Number

  1. Open your browser and navigate to https://onedrive.live.com/about/en-us/signin/
  2. Log in to your Microsoft OneDrive account.
  3. Note or copy the CID number — look in your browser's address bar and copy the digits that appear after CID= in the URL. You will need this in the next step.

Step 2: Map a Network Drive

You need to map a network drive to your Microsoft OneDrive. Follow the instructions for your version of Windows below.

For Windows 11

  1. Open File Explorer (Yellow Folder) or This PC.
  2. Right-click on This PC.
  3. Left-click Show More Options.
  4. On the new menu window, click Map Network Drive.
  5. With the Map Network Drivewindow open:
    • Select the drive letter you would like to use from the Drive: drop-down box (Example: R:).
    • In the Folder box enter: https://d.docs.live.net/CIDNumber — replacing CIDNumber with the number you copied in Step 1.
    • Make sure there is a check in the box next to Reconnect at sign-in.
  6. Click Finish.
  7. You will now be prompted to sign in to your Microsoft account.
  8. Enter your Microsoft credentials and make sure you put a check in the box next to Remember my credentials.
  9. Click OK to save.

For Windows 10

  1. Open File Explorer (Yellow Folder) or This PC.
  2. Right-click on This PC.
  3. Left-click Map Network Drive.
  4. With the Map Network Drivewindow open:
    • Select the drive letter you would like to use from the Drive: drop-down box (Example: R:).
    • In the Folder box enter: https://d.docs.live.net/CIDNumber — replacing CIDNumber with the number you copied in Step 1.
    • Make sure there is a check in the box next to Reconnect at sign-in.
  5. Click Finish.
  6. You will now be prompted to sign in to your Microsoft account.
  7. Enter your Microsoft credentials and make sure you put a check in the box next to Remember my credentials.
  8. Click OK to save.

Part 2: Linking Documents to Customer Accounts

Step 1: Open the Customer Account

  1. Click Customers.
  2. Highlight the account you would like to link a document to.
  3. Click Change or double-left-click the customer account to open it.
  4. With the customer account open, click Documents.

Step 2: Insert a Document

From the document window, click Insert. Depending on how your company is set up to link documents to Cornerstone, you will see one of the following methods:

For FTP Users

Attaching Documents

  1. At the confirmation prompt, click Yes.
  2. The File Explorer window will open.
  3. Navigate to the drive you have set up for Microsoft OneDrive (Example: R:\ drive).
  4. Double-left-click the R: drive to open the drive folder, or highlight the drive and click Open.
  5. The window explorer will display the contents of the R:\ drive.
  6. Navigate to the document you wish to attach to the customer.
  7. To attach multiple documents: Hold CTRL and Left-click each file you want to select.
  8. With all files highlighted, click Open to attach.
  9. You will receive a notification showing how many files were attached.
  10. Click OK to continue.

Viewing Documents

The customer account number is appended to the File Description and File Name.

To edit the Description:

  1. Highlight the document in the list.
  2. Click Change.

To view an attached document:

  1. Highlight the document in the list.
  2. Click View.

To view a document before importing:

  1. Click View Remote.
  2. Navigate to your drive letter for Microsoft OneDrive (Example: R:\ drive).
  3. Navigate to your document.
  4. Click Open.
  5. Your document will be displayed in the Viewer.

For MAPPING Users

Attaching Documents

  1. Click the upload file icon.
  2. The File Explorer window will open.
  3. Navigate to the drive you have set up for Microsoft OneDrive (Example: R:\ drive).
  4. Double-left-click to open the drive folder, or highlight the drive and click Open.
  5. The File Explorer window will show the contents of your Microsoft OneDrive.
  6. Navigate to the document you wish to attach to the customer.
  7. Highlight the file and click Open to attach.

⚠️ NOTE

The file name is shown in the Description field and the path to the file is shown under File Name. For example, if R: drive is your Microsoft OneDrive, the path will display as \\tsclient\R\TEST.txt

  1. The file has now been imported.
  2. Click OK to complete the import.

Viewing Documents

To view an attached document:

  1. Highlight the document in the document list.
  2. Click View.
  3. Your document will be displayed in the Viewer.

To view a document before importing:

  1. Click View Remote.
  2. Navigate to your drive letter for Microsoft OneDrive (Example: R:\ drive).
  3. Double-left-click on R:\ drive.
  4. Navigate to your document.
  5. Click Open.
  6. Your document will be displayed in the Viewer.
