Recurring Billing Proof Report: A Pre-Invoicing Audit

The Recurring Billing Proof report is a critical tool for previewing and auditing all charges scheduled for the next billing cycle. Running this report before generating invoices helps you proactively identify and fix potential issues, ensuring billing accuracy and reducing payment failures.


How to Run the Report

  1. Navigate to the Reports menu.

  2. Click on the Pre-Invoicing tab.

  3. Select Recurring Billing Proof to open the report parameters window.

  4. The Starting and Ending Billing Cycle Date range is automatically populated for the next set of invoices. It is recommended to leave these dates as they are to see the upcoming batch.

  5. (Optional) You can apply filters to narrow down the report, such as by Recurring Type and a specific Recurring Code (e.g., TXT, CELL, RAD).

  6. (Optional) To email yourself a copy of the report, click Email Setup, enter your email address, and click OK.

  7. Click Run Report.


What to Look For in the Report

This report provides a detailed view of the accounts and charges in the next invoice batch. Reviewing it carefully can save you time and prevent billing errors.

The "Requires Attention" Column

This is the most important part of the report for proactive error correction. An entry in this column will alert you to several potential issues, including:

  • Charges that have a $0.00 total.

  • Autopay methods with invalid checking account information.

  • Autopay methods with expired credit card dates.

Last Page Summary

The final page provides a valuable summary of the upcoming invoice batch. It gives you a total invoice count broken down by delivery method, allowing you to see how many invoices will be printed, charged to a card, or sent via email.

Dealer Recurring Invoices Section

This section lists any account set up as a feeder/master account and provides a dedicated summary box for each. These are accounts that are configured to bill through their associated master account.
