How to Invoice Specific Items on a Service Ticket

Overview

Service items can be invoiced together or put on hold to be invoiced separately or at a later date. This allows you to create multiple invoices from a single service ticket for progress billing or phased work.


Step 1: Create Service Ticket and Add Items

  1. Create a service ticket
  2. Click Service Items
  3. Start adding the items needed for the service ticket

Step 2: Toggle Hold Status on Items

Once you have added your service items to the ticket, you can toggle on and off which items to invoice.

Methods to Hold Items

Option A: Tag Multiple Items

  • Use the checkbox next to the service item(s) to tag multiple items
  • Click Toggle Hold Items

Option B: Individual Item

  • Highlight an individual item
  • Click Toggle Hold Items

Visual Indicators

At the top of the service items screen you can see:

  • Dollar amount of held items
  • Dollar amount of unheld items
  • Parts that have been held also show a hold icon next to the item

Step 3: Create First Invoice

Click Close to return to the service ticket window. You are now ready to invoice the first item(s).

From the service ticket window, click Invoice.

Invoice Creation Window

Once you've clicked Invoice, the Create an Invoice From A Ticket window will open showing:

  • Number of pending items to be invoiced
  • Number of items on hold (highlighted in green)

Actions:

  1. Select your Billing Option
  2. Select if you would like to Calculate Labor Charges and Add To Invoice
  3. Click OK to invoice the pending item(s)

Step 4: View Invoice and Return to Ticket

The invoice shows the pending item as invoiced.

  1. Click OK to close the invoice and return to the service ticket
  2. Click the Invoice(s) tab on the service ticket

Note: This tab shows all invoices associated with this ticket.


Step 5: Invoice Remaining Items

To invoice the remaining items, click Next Invoice.

Toggle Held Items

The service ticket shows the items still on hold.

  1. Click the pencil icon to toggle the on hold items
  2. You will see:
    • Dollar sign symbol next to items already invoiced
    • Hold icon next to remaining held items

Release Items from Hold

  1. Tag the service items you want to invoice
  2. Click Toggle Hold Items
  3. You will get a notification that the items have been Held/UnHeld

Visual Confirmation:

  • Items no longer show the on hold icon
  • Service list no longer shows any dollar amount for held items

Step 6: Create Second Invoice

Click Close to return to the Create an Invoice from Ticket window.

You will now see:

  • Number of pending items to invoice
  • No longer shows any on hold items

Make any selections needed for billing options and/or labor, then click OK to invoice the remaining items.

The remaining items have now been invoiced.


Viewing All Invoices for a Ticket

To view all invoices associated with the service ticket:

  1. Open the service ticket
  2. Click the Invoices tab
  3. To view the full invoice, double left-click on the invoice(s) shown in the Invoices tab

This tab provides a complete history of all invoices created from this service ticket.

  • Flexible Billing - Hold certain items until customer approval
  • Better Cash Flow - Bill for completed work immediately while holding pending items
  • Clear Tracking - All invoices linked to the original service ticket
  • Customer Satisfaction - Bill customers only for completed work
