Calendar Appointments - Email Integration

When you email an Appointment or Ticket that has a date and time, a corresponding calendar file is also emailed that can be added to the recipient's calendar program.

Benefits

This feature allows you to:

  • Notify subscribers and have them add the appointment to their calendars
  • Avoid double bookings if you use another calendar for your techs
  • Keep everyone synchronized with scheduled appointments


How It Works

Setting Up the Appointment

  1. Put in the date / time and assign a tech to the ticket or appointment
  2. Choose your email option:
    • Print/Email the ticket to the tech and/or the subscriber
    • Email only the appointment information (no ticket) directly from the ticket

What Gets Sent

Ticket Email Includes:

  • The ticket details
  • A calendar file (.ics format)

Calendar File:

  • Can be added to the recipient's calendar program (Outlook, Google Calendar, Apple Calendar, etc.)
  • Contains all appointment details including date, time, and description

Automatic Tracking

The Calls and Mailings Log automatically records the communication, providing a complete audit trail of appointment notifications sent.
